- Coordinate and manage the Company’s PTS, mission orders, travel bookings, ticketing, accommodation, and POB administration across locations, ensuring accurate travel processing, timely reporting, cost control, and effective support to staff and service providers.
Responsibilities
- Administer mission orders, including reassignment, modifications, approvals, staff account updates, DOAs, cost controllers, and cost codes.
- Assist staff with raising mission orders and track approvals to ensure timely processing.
- Manage third-party mission orders, including validation, company creation, and issue resolution.
- Administer Dawinci accounts, cost centres, users, correspondents, and POB records across locations.
- Provide training and support to Dawinci users and correspondents.
- Process approved domestic ticket purchases and make domestic and international bookings on Dawinci.
- Handle flight modifications, cancellations, and travel-related enquiries to minimize no-shows and disruptions.
- Generate and publish weekly, monthly, and annual KPI reports covering domestic and international travel, mission orders, and accommodation.
- Consolidate travel data from various locations and present reports using Power BI, PowerPoint, and PDF.
- Liaise with Technical Logistics, IST, Accommodation, Protocol, Shuttle Bay, Finance, HR, and other relevant teams.
- Provide accurate travel and PTS data to support Finance, Compliance, and Management decision-making.
- Monitor travel costs, ticket usage, accommodation, and no-shows to minimize financial losses and unnecessary expenditure.
- Ensure travelers receive tickets and confirmed travel arrangements before their scheduled departure.
- Respond promptly to travel-related emails and calls, including requests received during weekends and public holidays.
- Maintain accurate records of mission orders, bookings, tickets, accommodation, and POB activities.
- Support crisis management and other operational activities as assigned by Management.
- Ensure compliance with Company HSE procedures, policies, and Code of Conduct.
Job Requirements
- Minimum of BSC/BA/HND in any discipline with 3 to 6 years' experience in a similar role
- Good Computer and Analytical Skills.
- Ability to work under pressure with minimum supervision.
- Ability to deliver reports on time.
- Ability to always attend to clients.
- Very Good Human Relation Skills.
- Ability to pass knowledge and experiences to others.
