Executive Secretary

Job Summary

• The Executive Secretary provides high-level administrative, secretarial, and operational support to the Managing Director and Executive Management.
• The incumbent acts as the primary point of contact for internal and external stakeholders, managing complex schedules, confidential correspondence, board documentation, and executive communications with absolute professionalism and discretion.

Responsibilities

• Manage and coordinate complex executive calendars, appointments, meetings, and travel itineraries.
• Prioritize incoming meeting requests and ensure the Managing Director is adequately briefed and prepared for all engagements.
• Organize executive meetings, prepare board or management agendas, and take accurate meeting minutes for follow-up actions.
• Draft, edit, and format professional executive correspondence, memos, letters, reports, and official company documentation.
• Screen incoming emails, phone calls, and mail, routing inquiries to appropriate departments and handling routine correspondence independently.
• Serve as a professional liaison between the Executive Office, internal departments, clients, contractors, and external partners.
• Maintain secure physical and digital filing systems for confidential executive documents, contracts, policies, and reports.
• Track the progress of executive directives, action items, and departmental reports to ensure timely completion.
• Coordinate travel arrangements, hotel bookings, and logistics for executive travel and corporate events.
• Manage office supplies, equipment, and administrative needs for the Executive Office suite.
• Maintain a polished, professional, and welcoming environment for high-profile visitors and guests.

Requirements

• 4 to 5 years of proven experience providing secretarial or administrative support at senior management or executive levels.
• Advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
• Fast and accurate typing skills with exceptional command of business English and grammar.
• Impeccable discretion, high emotional intelligence, excellent communication and interpersonal skills, strong organizational abilities, and attention to detail.
