Why this role exists

The Project Manager exists to turn business priorities into well-planned, well-executed outcomes.

As the organization grows, successful execution requires strong coordination across teams, clear ownership, disciplined planning, and proactive management of risks and dependencies. This role provides the structure and accountability needed to move multiple business initiatives from concept through completion while keeping stakeholders aligned and informed.

The Project Manager will own the planning, coordination, and delivery of cross-functional business projects. This person will work closely with internal teams, external partners, and key stakeholders to establish project plans, clarify responsibilities, identify and remove roadblocks, and ensure commitments are delivered on time and within scope.

This is not simply a project-tracking or administrative role. We are looking for someone who exercises sound judgment, anticipates challenges, influences others without relying solely on authority, and creates the operating discipline that helps teams execute effectively.

The right person will be equally comfortable building a detailed project plan, facilitating a cross-functional meeting, challenging an unrealistic timeline, communicating with senior stakeholders, and improving the processes used to deliver future projects.

What you’ll own

Project Planning + Delivery

• Lead business projects from initial scoping and planning through execution, completion, and closeout
• Translate business objectives into clear project plans, milestones, deliverables, timelines, and ownership
• Establish project scope, success criteria, dependencies, and resource requirements at the beginning of each initiative
• Manage multiple concurrent projects while maintaining visibility into priorities, timelines, and commitments
• Monitor project progress against agreed plans and proactively address deviations
• Ensure projects are completed on time, within agreed scope, and to the expected quality
• Maintain clear project documentation and ensure key decisions, changes, and outcomes are captured
• Apply sound judgment when balancing competing priorities, resource constraints, and business needs

Cross-Functional Coordination + Execution

• Serve as the central point of coordination across internal teams, external partners, vendors, and other stakeholders
• Establish clear ownership and accountability for project deliverables
• Facilitate effective project meetings with clear agendas, decisions, owners, and next steps
• Identify dependencies and roadblocks early and coordinate the appropriate teams to resolve them
• Follow through on commitments and ensure action items progress between meetings
• Keep teams aligned around project objectives, priorities, deadlines, and expected outcomes
• Escalate issues appropriately when additional support or leadership decisions are required
• Create momentum across projects without relying solely on positional authority

Stakeholder Communication + Alignment

• Establish clear and consistent communication rhythms for each project
• Provide stakeholders with concise updates on progress, milestones, risks, dependencies, decisions, and next steps
• Adapt communication based on the needs of executives, project teams, external partners, and other audiences
• Surface risks and difficult issues early rather than allowing problems to emerge late in the project
• Facilitate decisions when teams have competing priorities or perspectives
• Build productive working relationships across functions and levels of the organization
• Influence stakeholders toward decisions and actions that support successful project outcomes
• Ensure expectations remain aligned as project requirements, timelines, or priorities evolve

Risk + Issue Management

• Proactively identify project risks, issues, constraints, and dependencies
• Assess potential business impact and determine appropriate mitigation strategies
• Maintain visibility into critical risks and ensure mitigation actions have clear owners and deadlines
• Recognize when issues can be resolved independently and when escalation is required
• Present leaders with clear options and recommendations when decisions are needed
• Manage changes to project scope or timelines in a structured and transparent manner
• Prevent avoidable surprises through disciplined planning and proactive communication

Operational Excellence + Process Improvement

• Evaluate existing project delivery practices and identify opportunities to improve efficiency and consistency
• Develop and maintain practical project management templates, tools, workflows, and standards
• Reduce unnecessary administrative work while maintaining appropriate project discipline
• Conduct project retrospectives and translate lessons learned into improvements for future initiatives
• Identify recurring execution challenges and recommend solutions that address root causes
• Improve visibility and accountability across project portfolios through consistent reporting and tracking
• Help establish scalable project management practices as the organization grows

What Success Looks Like (First 90 Days)

First 30 Days

• Develop a strong understanding of the organization, business priorities, teams, stakeholders, and current project portfolio
• Build relationships with key cross-functional partners and understand how work moves across the organization
• Learn existing project management processes, systems, tools, and reporting expectations
• Assess active projects to understand objectives, timelines, ownership, dependencies, and key risks
• Establish clear communication and reporting rhythms for assigned projects
• Identify immediate opportunities to improve project visibility, coordination, or execution

By 60 Days

• Independently manage assigned projects with clear plans, milestones, owners, risks, and dependencies
• Establish credibility as a reliable point of coordination for cross-functional initiatives
• Proactively identify roadblocks and drive appropriate actions to keep projects moving
• Provide stakeholders and leadership with concise, decision-oriented project updates
• Demonstrate strong planning, prioritization, organization, and follow-through
• Begin implementing practical improvements to project management processes and tools

By 90 Days

• Consistently drive multiple projects toward agreed milestones and business outcomes
• Demonstrate strong ownership of project timelines, scope, risks, dependencies, and stakeholder communication
• Anticipate execution challenges and resolve or escalate them before they materially impact delivery
• Build trust across teams by creating clarity, accountability, and consistent follow-through
• Demonstrate the ability to influence cross-functional stakeholders and drive decisions when priorities compete
• Implement measurable improvements that make project execution more efficient, consistent, and transparent
• Become a trusted partner to business leaders and teams for translating priorities into execution

Qualifications

• 3+ years of experience in project management, program management, operations, business operations, or a related role
• Demonstrated experience managing cross-functional projects from planning through completion
• Proven ability to manage multiple projects and priorities simultaneously
• Strong project planning, organization, prioritization, and time-management skills
• Experience identifying and managing project risks, dependencies, issues, and scope changes
• Strong written and verbal communication skills
• Demonstrated ability to work effectively with stakeholders across different functions and levels of an organization
• Strong problem-solving skills and sound business judgment
• Ability to influence and drive accountability without direct reporting authority
• Experience using project management and collaboration tools such as Asana, Monday.com, Smartsheet, Jira, ClickUp, Microsoft Project, or similar platforms
• Comfortable operating in a fast-moving environment where priorities may evolve

Nice to have:

• PMP, CAPM, Scrum, Agile, or other relevant project management certification
• Experience working in a high-growth, startup, or rapidly changing organization
• Experience coordinating external vendors, consultants, or implementation partners
• Experience developing or improving project management processes and operating rhythms
• Familiarity with process improvement, change management, or operational excellence methodologies
• Experience presenting project status, risks, and recommendations to senior leadership
