CLIENT RELATIONS AND ADMIN OFFICER

This is a remote position.
The Client Relations & Administrative Officer serves as a key operational support function within our organization, ensuring efficient client service delivery, administrative coordination, regulatory compliance support, and internal workflow management. The Client Relations & Administrative Officer will serve as the primary point of contact for clients, manage administrative processes, coordinate business registration and compliance matters, support recruitment activities, and ensures smooth communication between clients and our team.
Key Responsibilities
Client Relations & Customer Service
- Serve as the primary point of contact for prospective and existing clients.
- Respond promptly and professionally to client inquiries via email, phone, and other communication channels.
- Manage client onboarding processes and maintain strong client relationships.
- Follow up on pending client requests, required documentation, and project deliverables.
- Provide regular updates to clients regarding the status of applications, registrations, and compliance matters.
- Maintain accurate and up-to-date client records and databases.
Administrative Operations
- Manage calendars, appointments, and meeting schedules.
- Draft professional correspondence, reports, proposals, and internal documents.
- Organize and maintain company records, files, and databases.
- Coordinate meetings and prepare agendas
- Monitor administrative workflows and ensure tasks are completed efficiently and on schedule.
- Provide administrative and operational support to management.
Compliance & Regulatory Support
- Assist with administrative duties regarding compliance processes.
- Coordinate applications and related client communications.
- Track filing deadlines and regulatory obligations for clients.
- Prepare and organise documentation required for submission to government agencies and regulatory bodies.
- Maintain records of compliance activities, filings, and submissions.
Recruitment & Human Resources Support
- Draft and publish job advertisements across relevant platforms.
- Coordinate recruitment activities, including interview scheduling and applicant communication.
- Assist with onboarding documentation for new employees, interns, and contractors.
- Maintain employee and applicant records where necessary.
Communications & Marketing Support
- Assist in preparing client-facing content and business communications.
- Support social media and digital engagement initiatives.
- Coordinate email campaigns, newsletters, and promotional communications.
- Ensure consistency of brand messaging across all client communications.
Project Coordination
- Monitor timelines, milestones, and deliverables.
- Coordinate with team members to ensure tasks are completed effectively.
- Prepare progress reports and updates for management.
- Support continuous improvement of internal processes and operational efficiency

- Should be a Lawyer or a Law Graduate
- Excellent written and verbal communication skills.
- Strong client relationship management and customer service skills.
- Exceptional organizational and administrative abilities.
- High level of attention to detail and accuracy.
- Strong time management and multitasking skills.
- Professional email writing and business correspondence skills.
- Strong problem-solving and critical-thinking abilities.
- Proficiency in Google Workspace.
- Ability to work independently in a remote work environment.
- Strong record-keeping and documentation skills.
- Must have a working Laptop
Preferred Qualifications
- Previous experience in administration, client relations, legal services, compliance, or business consulting.
- Basic familiarity with regulatory compliance processes.
- Experience working in a fast-paced environment.
