About the Role

• HelloMe Travels Limited is seeking an experienced and customer-focused Travel and Tour Specialist to manage flight bookings, ticketing, travel arrangements, holiday packages, hotel reservations, school admission services, and other travel-related services.
• The successful candidate will be responsible for providing end-to-end travel solutions to clients, from understanding their travel requirements and making appropriate recommendations to booking, ticket issuance, documentation, and after-sales support.
• The candidate must have hands-on experience using the Amadeus Global Distribution System (GDS) and should be comfortable managing domestic and international flight reservations, ticketing, reissuance, cancellations, refunds, and itinerary changes.
• The role will also support HelloMe Consult's travel and education consultancy services, including the preparation of school packages, holiday packages, hotel packages, and processing of school admission applications.

Key Responsibilities

Flight Booking & Ticketing

• Book and issue domestic and international flight tickets through GDS platforms, with strong hands-on proficiency in Amadeus.
• Search and compare flight schedules, fares, routes, and availability to provide clients with suitable and cost-effective options.
• Reconfirm bookings and process cancellations, rescheduling, reissuance, refunds, and ticket changes as required.
• Manage fare rules, ticketing deadlines, baggage allowances, penalties, and applicable airline policies.
• Ensure all passenger information and ticket details are accurate before ticket issuance.
• Handle complex itineraries, connecting flights, multi-city bookings, and group reservations where applicable.
• Monitor booking queues and ensure all pending reservations are properly followed up and completed.
• Provide clients with accurate travel itineraries, e-tickets, booking confirmations, and relevant travel information.

Travel Consultation & Customer Service

• Consult with clients to understand their travel needs, preferences, budgets, destinations, and timelines.
• Recommend appropriate flight, accommodation, transportation, holiday, and travel package options.
• Provide professional and timely responses to client enquiries through phone, email, WhatsApp, and other approved communication channels.
• Provide end-to-end customer support from initial consultation through completion of the client's travel arrangements.
• Provide after-sales support, including travel reminders, schedule updates, changes, cancellations, and issue resolution.
• Handle client complaints and travel-related challenges professionally and escalate complex issues when necessary.

Holiday & Tour Packages

• Develop and prepare customized holiday packages based on clients' destinations, preferences, budgets, and travel periods.
• Prepare complete holiday packages covering flights, hotels, airport transfers, tours, activities, and other relevant travel services.
• Create customized tour itineraries for individuals, families, groups, and corporate clients.
• Coordinate with local and international tour operators, hotels, transportation providers, and other travel service partners.
• Research destinations, attractions, activities, and travel experiences to develop competitive and attractive packages.
• Stay updated on travel promotions, seasonal offers, destinations, and emerging travel trends.
• Proactively inform clients about available travel deals, promotions, and new packages.

Hotel & Accommodation Packages

• Source, compare, and book hotels and other suitable accommodation options based on client requirements and budget.
• Prepare hotel packages for individual and group travellers.
• Negotiate or leverage available partner rates and promotions to secure competitive pricing.
• Arrange airport transfers, car rentals, travel insurance, and other ancillary travel services where required.
• Confirm hotel reservations and ensure clients receive accurate booking details and relevant terms and conditions.

School Admission & Education Consultancy

• Support clients with school admission processing for local and international educational institutions.
• Prepare and coordinate school admission packages based on the student's academic level, preferred destination, institution, and budget.
• Assist students and parents in identifying suitable schools, colleges, universities, or other educational institutions.
• Provide guidance on admission requirements, application procedures, documentation, deadlines, and applicable fees.
• Assist clients in compiling and submitting required admission documents.
• Follow up with schools and institutions regarding admission applications and provide clients with timely updates.
• Maintain accurate records of students' applications, correspondence, submitted documents, admission status, and outcomes.
• Coordinate with relevant education partners and institutions where applicable.
• Provide professional support throughout the admission process while ensuring that clients receive accurate information.

Visa & Travel Documentation Support

• Provide accurate information on applicable visa requirements, travel documentation, health advisories, and travel restrictions.
• Assist clients with the preparation and organization of travel and visa-related documentation where applicable.
• Support clients with visa application processing in accordance with applicable requirements.
• Keep up to date with changes in visa requirements, immigration procedures, travel restrictions, and entry requirements.
• Ensure that clients are properly informed of applicable documentation requirements and deadlines.

Travel Partners & Supplier Management

• Maintain strong professional relationships with airlines, hotels, tour operators, travel agencies, transportation providers, schools, and other travel partners.
• Coordinate with suppliers to obtain availability, pricing, confirmations, amendments, and other required services.
• Leverage existing partnerships to secure competitive rates and special packages for clients.
• Identify and develop relationships with new travel and education service providers where necessary.
• Monitor supplier service quality and escalate issues where appropriate.

Records, Payments & Reporting

• Maintain accurate and organized records of client bookings, payments, tickets, invoices, applications, and travel preferences.
• Ensure all booking and payment information is properly documented and updated.
• Follow up on outstanding payments and booking deadlines where applicable.
• Prepare periodic sales, booking, revenue, and activity reports for management review.
• Maintain proper documentation for all transactions handled through HelloMe Consult.
• Ensure client and transaction information is handled confidentially and professionally.

Compliance & Professional Standards

• Ensure all ticketing, travel, visa, hotel, and school admission services are handled in accordance with applicable policies and regulations.
• Provide clients with accurate information and avoid making representations or guarantees that cannot be substantiated.
• Protect client information and maintain confidentiality at all times.
• Ensure all company systems, platforms, and resources are used appropriately.
• Maintain professional standards when dealing with clients, airlines, hotels, schools, suppliers, and other partners.

Market Knowledge & Business Development

• Stay updated on airline policies, fare changes, travel trends, visa requirements, destination information, and travel promotions.
• Monitor competitor pricing and market offerings to support competitive package development.
• Identify opportunities to increase flight ticket sales, holiday packages, hotel bookings, and school admission services.
• Promote HelloMe Consult's travel and education services to prospective and existing clients.
• Support management in developing new travel, holiday, hotel, and education packages.

Requirements & Qualifications

• Minimum of a Bachelor's Degree in Tourism, Hospitality, Travel Management, Business Administration, or a related field.
• Minimum of 3 years of proven hands-on experience in flight ticketing, travel consultancy, or travel agency operations.
• Mandatory hands-on experience with the Amadeus GDS platform.
• Practical experience with flight reservations, fare display, ticket issuance, reissuance, cancellations, refunds, and itinerary changes using Amadeus.
• Experience with Sabre, Galileo, or other GDS platforms is an added advantage.
• Proven experience preparing and selling holiday, hotel, and travel packages.
• Experience in school admission processing or education consultancy is an added advantage.
• Good knowledge of domestic and international travel requirements, airline policies, visa requirements, hotels, travel services and travel documentation.
