Job title : Personal Assistant to the COO - Operations

The Personal Assistant to the COO (Operations) will provide executive and operational support to the Chief Operating Officer, ensuring effective coordination of activities across departments and business units. The role requires a highly organized individual who can track projects, follow up on operational deliverables and ensure that management directives are executed.

Key Responsibilities

• Provide day-to-day administrative and operational support to the COO.
• Coordinate meetings, schedules, appointments and business engagements.
• Track operational activities, projects, deadlines and departmental deliverables.
• Follow up with department heads and team members on assigned tasks and management directives.
• Prepare operational reports, presentations, meeting briefs and correspondence.
• Record meeting minutes and maintain an effective action-tracking system.
• Assist the COO in monitoring operational performance across business units.
• Identify delays, outstanding actions and operational issues requiring the COO’s attention.
• Coordinate travel, logistics and other executive arrangements when required.
• Maintain confidential operational and management records.
• Support special projects and business improvement initiatives.

Requirements

• Bachelor’s degree/HND in Business Administration, Operations Management, Management or a related field.
• Minimum of 3–5 years’ experience in operations, administration, project coordination or executive support.
• Strong project and task-management skills.
• Excellent organizational and follow-up abilities.
• Strong proficiency in Microsoft Office and productivity/project-management tools.
• Excellent communication and interpersonal skills.
• Ability to work independently and exercise sound judgement.
• High level of discretion and professionalism.
• Ability to work effectively in a fast-paced, demanding environment.
