Production Documentation Officer

Role Summary

• A Production Documentation Officer is responsible for preparing, issuing, reviewing, maintaining, and controlling manufacturing documents and records.
• The officer ensures that production activities are accurately documented and traceable from dispensing of raw materials through manufacturing, packaging, and finished-product transfer.

Key Responsibilities
Preparation and Issuance of Batch Documents:

• Prepare and issue Batch Manufacturing Records (BMRs) and Batch Packaging Records (BPRs).
• Ensure that the correct and approved version of each document is issued to Production.
• Verify that documents contain the required product, batch, equipment, material, and process information.

Review of Production Records::

• Review completed BMRs and BPRs for accuracy, completeness, and compliance with approved procedures.
• Check entries for proper dates, signatures, initials, quantities, equipment numbers, and processing parameters.
• Identify missing, incorrect, or inconsistent entries and ensure they are properly addressed.

Documentation Compliance:

• Ensure production documentation complies with Good Manufacturing Practice (GMP) requirements.
• Ensure activities are documented at the time they are performed, following good documentation practices.
• Prevent unauthorized alterations, overwriting, backdating, or incomplete records.

Production Data Verification

• Check records for:
  • Batch numbers
  • Raw-material quantities
  • Weighing/dispensing records
  • Equipment identification
  • Processing times
  • Temperatures
  • Machine parameters
  • Yield calculations
  • Packaging quantities
  • Reconciliation of materials and finished products.

Deviation and Documentation Error Management:

• Identify documentation errors, deviations, discrepancies, and missing information.
• Assist in documenting and investigating production deviations.
• Support Corrective and Preventive Actions (CAPA) where required.

Document Control:

• Maintain controlled copies of SOPs, BMRs, BPRs, forms, logbooks, and other production documents.
• Withdraw obsolete documents and ensure only current approved versions are available for use.
• Maintain proper document filing and retrieval systems.

Coordination with Other Departments:

• Work closely with Production, Quality Assurance (QA), Quality Control (QC), Warehouse, Engineering and Regulatory Affairs.
• Liaise with QA concerning batch-documentation discrepancies and document approval.
• Ensure production records are available for QA review and eventual batch release.

Logbook Management:

• Maintain and review production equipment and area logbooks.
• Ensure entries are complete, legible, dated and properly signed.
• Monitor the use and issuance of controlled production records.

Batch Reconciliation:

• Verify material usage and reconciliation against expected quantities.
• Review actual yield against theoretical yield.
• Report significant discrepancies for investigation.

Archiving and Record Retention:

• File completed batch records and other production documents appropriately.
• Maintain document traceability and confidentiality.
• Ensure records are retained according to company procedures and regulatory requirements.

Important GMP Principles to Know
For a Production Documentation role, you should understand Good Documentation Practices (GDP), including:

• Entries must be legible, accurate and permanent.
• Records should be completed contemporaneously—at the time the activity occurs.
• Never erase or obscure an incorrect entry.
• Corrections should be made according to approved procedures, normally by making a single-line correction, entering the correct information, and adding initials/date and an explanation where required.
• Blank spaces should be handled according to the applicable SOP.
• Only approved and current documents should be used.
• Every manufacturing activity must be traceable.

Typical Qualifications
A Production Documentation Officer may be expected to have:

• B.Sc. / B.Tech in Pharmacy, Pharmaceutical Technology, Chemistry, Biochemistry, Microbiology, Industrial Chemistry, or a related discipline.
• Knowledge of GMP and GDP.
• Good understanding of pharmaceutical manufacturing processes.
• Strong documentation and record-keeping skills.
• Good computer skills, particularly Microsoft Word and Excel.
• Excellent attention to detail.
• Ability to identify discrepancies and documentation errors.
• Good communication and organizational skills.
