Personal Assistant to the Managing Director - Factory Matters

Job Summary

• The Personal Assistant to the MD - Factory Matters will support the Managing Director in the day-to-day oversight of all factory operations.
• This role is the MD’s eyes and ears on the production floor, responsible for data analysis, performance tracking, coordination, and execution of MD directives across all factory departments.

Key Responsibilities
Factory Operations & Data Analytics Support:

• Attend daily/weekly production meetings with the MD, take minutes + track action points to closure
• Monitor, analyze and report production KPIs: output, downtime, OEE, yield, quality, waste, and safety
• Build dashboards and reports in Excel/PowerBI to provide insights and trends to the MD
• Conduct spot checks and factory floor visits to verify issues and provide data-backed feedback
• Follow up with HODs - Production, QA, Maintenance, Warehouse, HSE - on deadlines and deliverables.

Coordination & Communication:

• Act as liaison between the MD and factory management team
• Prepare executive briefs, presentations and factory performance reports for MD and Board
• Schedule and coordinate MD’s factory visits, inspections, and meetings
• Escalate urgent factory issues to MD with clear data and recommendations.

Project & Task Management:

• Track all MD directives related to factory projects, CAPEX, cost-saving initiatives, and process improvements
• Support coordination of new product trials, plant maintenance schedules, and regulatory audits
• Maintain factory documents: SOPs, reports, regulatory filings, meeting notes.

Administrative & Confidential Support:

• Manage MD’s factory-related calendar, correspondence, and documents
• Handle confidential information with discretion
• Prepare memos, letters, and presentations on behalf of MD.

Required Qualifications & Experience

• Education: B.Sc / HND in Pharmacology or related discipline
• Experience: 3-5 years’ experience in a production/manufacturing factory. Experience in FMCG or Pharmaceutical is an advantage
• Must have worked closely with senior management or in an operations coordination role
• Familiarity with production processes, GMP, HSE, and factory KPIs.

Key Skills & Competencies

• Strong Excel skills. Experience with Power BI, Tableau, or similar AI dashboard tools. Ability to interpret production data and present insightsStrong organizational, multitasking and follow-through skills
• Excellent written and verbal communication skills
• Analytical mindset - able to turn raw data into actionable recommendations
• Proactive, resourceful, and able to work with minimal supervision
• High level of integrity, discretion and professionalism
• Proficient in MS Office: Excel, PowerPoint, Word. ERP knowledge is a plus
• Must be comfortable spending time on the factory floor.
