Executive Assistant / Executive Coordinator

Job Summary

  • A highly organized and proactive Executive Assistant / Executive Coordinator to provide strategic support to the Managing Director.
  • This is a dynamic role for a detail - oriented professional who will serve as the central coordination point for executive priorities, ensuring effective communication, accountability, and follow - through across departments.
  • The successful candidate will be responsible for managing executive reporting, tracking key business initiatives, coordinating management meetings, and driving the timely execution of action items to support informed decision - making and business performance.

Responsibilities

  • Manage and maintain the Managing Director's action tracker and priority list.
  • Monitor and follow up on action items assigned to department heads and key stakeholders.
  • Track project deliverables, deadlines, and departmental commitments, ensuring timely completion.
  • Prepare weekly executive dashboards and management reports highlighting business performance, project status, sales opportunities, operational updates, and key risks.
  • Coordinate communication and information flow between the Managing Director and various departments.
  • Schedule and coordinate internal and external meetings, preparing agendas and supporting documentation.
  • Attend meetings when required, record minutes, and track implementation of agreed action points.
  • Maintain trackers for quotations, proposals, tenders, and business opportunities.
  • Monitor submission deadlines and coordinate with relevant teams to obtain required documentation.
  • Prepare executive summaries, presentations, reports, and business correspondence.
  • Manage the Managing Director's calendar, appointments, meetings, and business engagements.
  • Screen and prioritize communications while ensuring the Managing Director is adequately briefed for meetings and engagements.
  • Support client, vendor, consultant, and partner engagements through effective coordination and follow - up.

Qualifications

  • Bachelor's Degree in Business Administration, Project Management, Engineering, Management, or a related discipline.
  • Minimum of 4 years' experience in an Executive Assistant, Executive Coordinator, Project Coordinator, Operations Coordinator, or similar management support role.
  • Proven experience supporting senior executives or leadership teams.
  • Strong experience in action tracking, project coordination, reporting, and stakeholder management.
  • Proficiency in Microsoft Office Suite, particularly Excel, PowerPoint, Outlook, and Word.
  • Excellent report-writing, presentation development, and business communication skills.
  • Strong organizational skills with the ability to manage multiple priorities effectively.
  • High attention to detail, professionalism, discretion, and confidentiality.
  • Experience within engineering, construction, technology, facilities management, manufacturing, or technical industries will be an added advantage.

Salary
N250,000 - N500,000 / month.
