Executive Assistant / Executive Coordinator

Job Summary
- A highly organized and proactive Executive Assistant / Executive Coordinator to provide strategic support to the Managing Director.
- This is a dynamic role for a detail - oriented professional who will serve as the central coordination point for executive priorities, ensuring effective communication, accountability, and follow - through across departments.
- The successful candidate will be responsible for managing executive reporting, tracking key business initiatives, coordinating management meetings, and driving the timely execution of action items to support informed decision - making and business performance.
Responsibilities
- Manage and maintain the Managing Director's action tracker and priority list.
- Monitor and follow up on action items assigned to department heads and key stakeholders.
- Track project deliverables, deadlines, and departmental commitments, ensuring timely completion.
- Prepare weekly executive dashboards and management reports highlighting business performance, project status, sales opportunities, operational updates, and key risks.
- Coordinate communication and information flow between the Managing Director and various departments.
- Schedule and coordinate internal and external meetings, preparing agendas and supporting documentation.
- Attend meetings when required, record minutes, and track implementation of agreed action points.
- Maintain trackers for quotations, proposals, tenders, and business opportunities.
- Monitor submission deadlines and coordinate with relevant teams to obtain required documentation.
- Prepare executive summaries, presentations, reports, and business correspondence.
- Manage the Managing Director's calendar, appointments, meetings, and business engagements.
- Screen and prioritize communications while ensuring the Managing Director is adequately briefed for meetings and engagements.
- Support client, vendor, consultant, and partner engagements through effective coordination and follow - up.
Qualifications
- Bachelor's Degree in Business Administration, Project Management, Engineering, Management, or a related discipline.
- Minimum of 4 years' experience in an Executive Assistant, Executive Coordinator, Project Coordinator, Operations Coordinator, or similar management support role.
- Proven experience supporting senior executives or leadership teams.
- Strong experience in action tracking, project coordination, reporting, and stakeholder management.
- Proficiency in Microsoft Office Suite, particularly Excel, PowerPoint, Outlook, and Word.
- Excellent report-writing, presentation development, and business communication skills.
- Strong organizational skills with the ability to manage multiple priorities effectively.
- High attention to detail, professionalism, discretion, and confidentiality.
- Experience within engineering, construction, technology, facilities management, manufacturing, or technical industries will be an added advantage.
Salary
N250,000 - N500,000 / month.
