Sales & Inventory Records Officer

Job Description

• We are looking for a smart, organised and detail-oriented Sales & Inventory Records Officer to accurately record daily business transactions, maintain sales and inventory records, and ensure all transactions are properly documented and completed on time.
• The ideal candidate must have good knowledge of Google Sheets and Google Docs, be comfortable working with figures and demonstrate a high level of accuracy, organisation and accountability.

What Success Looks Like in Your First 90 Days

• All daily sales, procurement, inventory and related transactions are accurately entered and closed out on the same day.
• Invoices and proforma invoices are prepared accurately and promptly.
• Product information, prices and inventory records are consistently updated.
• Errors, missing entries and discrepancies are identified and resolved promptly.
• Supporting documents are properly maintained and easy to retrieve.
• Management can rely on the accuracy and completeness of daily business records.

What You Will Do

• Enter daily customer sales transactions accurately into the company’s business management software.
• Prepare and generate invoices and proforma invoices as required.
• Record all procurement transactions, purchased inventory, stock movements, discounts and other relevant business transactions.
• Ensure all daily transactions are accurately entered, verified and closed out before the end of each working day.
• Maintain and update product listings, prices and other relevant information in the company’s software.
• Identify price differences and communicate with the Procurement Team for confirmation and necessary updates.
• Review daily entries, identify missing records or discrepancies and follow up to ensure corrections are made.
• Maintain accurate sales, procurement and inventory records with proper supporting documentation.
• Coordinate with the Inventory Officer, Sales and Procurement Teams to ensure records are complete and consistent.
• Prepare simple records and reports when required by management.

Requirements

• OND, HND or Bachelor’s Degree.
• Good working knowledge of Google Sheets and Google Docs.
• Ability to organise data, work with basic spreadsheet formulas and maintain accurate records.
• Basic knowledge of Microsoft Excel is an advantage.
• Strong numerical ability and excellent attention to detail.
• Good organisational and time-management skills.
• Good written and verbal communication skills.
• Ability to work independently, follow instructions and meet deadlines.
• High level of honesty, integrity and accountability.
• Ability and willingness to learn new business management software. Previous experience with such software is not required.
• Relevant work experience is an advantage but not compulsory.
• Must currently reside in Port Harcourt, preferably in Eliozu or within reasonable commuting distance.

Salary
N100,000 per month (starting salary), with opportunities for salary review and growth based on performance and demonstrated competence.
