Project Support Officer

Job Summary

• The Project Support Officer (Food Safety) provides administrative and operational support for food safety testing projects. The role focuses on coordinating with laboratories and testers, documenting tester access details, validating laboratory information, and ensuring timely retrieval of test results in line with company standards.

Key Responsibilities
Tester & Laboratory Coordination:

• Contact laboratory representatives to obtain testing schedules and access requirements.
• Collect and accurately document the full name, phone number,acceptable means of identification of assigned testers prior to laboratory access.
• Confirm access requirements to ensure testers can carry out laboratory tests without delays.

Laboratory Information Validation:

• Verify laboratory proximity to testing locations and confirm suitability for assigned tests.
• Review and authenticate laboratory licenses and accreditation certificates to ensure they are current, valid, and issued by recognized regulatory or accreditation bodies.
• Revalidate laboratory information including pricing, scope of service, and testing capacity.
• Ensure laboratories comply with the company’s standard turnaround time of 3–5 working days for test results.

Documentation & Information Logging:

• Compile and maintain a complete information log containing tester details, laboratory access requirements, and test schedules.
• Send standardized information logs/forms to laboratories for completion before testing is conducted.
• Ensure all required documentation is completed and approved prior to laboratory access.

Follow-Up & Result Retrieval:

• Track test dates and follow up with laboratories after testing to retrieve completed documentation and laboratory results.
• Monitor turnaround timelines and escalate delays where results exceed the company’s standard duration.
• Provide timely updates and reports to the project supervisor on testing progress and outstanding actions.

Qualifications

• Interested candidates should possess a Bachelor's Degree.

Required Skills & Competencies:

• Strong communication and coordination skills.
• High attention to detail and accuracy in documentation.
• Ability to follow up consistently with laboratories and external partners.
• Good organizational and record-keeping skills.
• Basic knowledge of food safety testing processes is an added advantage.
