Job Description
- Pinefield Schools is seeking to recruit a highly competent, polished and experienced Front Desk Officer to join our administrative team.
- We are looking for an individual who understands the standards and demands of working at the front desk of a reputable school and can serve as a professional first point of contact for parents, pupils, staff, visitors and external stakeholders.
- The ideal candidate must be exceptionally organised, articulate, courteous and confident, with excellent interpersonal and communication skills.
- The successful candidate must also demonstrate sound judgement, discretion and the ability to manage a busy school reception while maintaining a warm and professional atmosphere.
Key Responsibilities
- Serve as the first point of contact for parents, pupils, staff, visitors and other stakeholders.
- Welcome and attend to visitors professionally, courteously and promptly while ensuring compliance with the school's visitor management procedures.
- Receive, screen and direct telephone calls, enquiries and visitors to the appropriate staff or department.
- Manage the reception area and ensure that it remains orderly, welcoming and professionally presented at all times.
- Receive and accurately communicate messages, correspondence and enquiries to the appropriate members of staff.
- Provide parents and visitors with accurate information about the school, its procedures, activities and services within the limits of the role.
- Maintain accurate visitor records and ensure that all visitors follow the school's access and identification procedures.
- Support the safe and orderly movement and release of pupils in accordance with approved school procedures.
- Receive and appropriately document parent enquiries, complaints and requests, escalating matters to the appropriate member of management when necessary.
- Maintain confidentiality of information relating to pupils, parents, staff and the school.
- Coordinate the receipt and distribution of official correspondence, documents and packages.
- Maintain accurate front desk records, registers, logs and daily reports.
- Support the school administration with basic clerical and administrative duties when required.
- Liaise effectively with the security team to ensure proper access control and the safe movement of visitors and pupils.
- Assist with the coordination of appointments, meetings, school events and other front office activities.
- Monitor and respond appropriately to official school communication channels assigned to the front desk.
- Provide timely updates to the appropriate department or member of management regarding important incidents, parent concerns or unusual occurrences.
- Ensure that all front desk activities are handled in accordance with the school's policies, procedures and professional standards.
- Demonstrate excellent telephone etiquette and written communication at all times.
- Perform other reasonable administrative responsibilities assigned by the Head of School or Head of Human Resources and Administration.
Requirements
- A Bachelor's Degree from a reputable, A-list Nigerian University.
- Minimum of Second Class Upper Division.
- Minimum of 4 to 6 years' relevant professional experience, with substantial experience working specifically as a Front Desk Officer, Receptionist or Administrative Officer within a reputable school in Lagos.
- Previous experience in a well-structured private school is strongly required.
- Demonstrable understanding of school front office operations, parent relations, visitor management and pupil safeguarding procedures.
- Excellent spoken and written English.
- Exceptional interpersonal and customer service skills.
- Excellent telephone etiquette and professional communication skills.
- Strong administrative and organisational abilities.
- Proficiency in Microsoft Office applications, email and other relevant administrative tools.
- Ability to remain calm, courteous and professional when dealing with demanding parents, visitors or challenging situations.
- Strong attention to detail and excellent record keeping skills.
- Ability to exercise discretion when handling confidential information.
- Ability to work effectively under pressure in a busy school environment.
- Professional appearance, excellent grooming and a pleasant disposition are essential.
- Must demonstrate maturity, emotional intelligence, sound judgement and a strong sense of responsibility.
- Candidates must reside in Lagos and preferably within reasonable commuting distance of Lekki.
