Job Description

He will be responsible for overseeing and supervising the day-to-day office management, including facility management, travel management, logistics, office procurement and fleet management.
He is to report to General Manager General Services

Core Responsibilities and Key Result Areas

Ensuring that the office is conducive for work and all office equipment are functioning optimally.
Ensure that internal communications channels(CUG) are functional
Store/Inventory Management
Liaises with the company’s chief security officer to ensure safety of staff and assets within the premises
Maintaining office inventory
Coordinate Drivers
Manage meeting rooms, and ensure proper meeting rooms are set up before any meeting
Maintain and manage office generator fueling, servicing, etc.
Manage all vehicle maintenance and fueling
Ensure office cleanliness
Cake and birthday Celebration
Other assigned responsibilities/duties

Facility Management:

Ensure that all utilities (power, water, internet, etc.) are available functional.
Ensure all utility bills are promptly paid .
Ensure prompt payment of rents and service fees .
Liaising with External Facility Managers, where applicable .
Ensure prompt payment of government levies.

Travel Management:

Ensure cost effective purchase of travel tickets for directors, staff and partners, where applicable .
Ensure accurate management of petrol issuance and reconciliation with petrol vendor
Handling of hotel bookings for directors, staff and partners, where applicable .
Processing of travel visas for staff and partners, where applicable .
Transportation and Logistics .
Ensure proper fleet Management of the company vehicles .
Handling of airport meet and greet activities .
Handling of local road trip for directors, staff and partners of the company
Provision of logistics support for corporate event.

Key Performance Indicators

Cost effective management of company’s fixed asset.
Timely resolution of office facility issues .
Efficient handling of events, protocol and logistical arrangements.
Efficient and effective handling of petrol reconciliation with vendor

Qualifications
Educational Qualifications

A Bachelor’s Degree in Business Administration or any Social Sciences related discipline.
Must be proficient with MS Office (word, excel and PowerPoint)

Experience Qualifications:

Minimum of 5 years working experience in an administrative/procurement related role.
