Sales Administrator (International Sales)

Job Purpose
- The Sales Administrator will provide centralised sales monitoring, coordination, and administrative support for Amo Farm's international sales operations.
- The role involves closely monitoring sales personnel across countries, tracking field activities and movements, following up on sales targets and performance, and providing timely reports and insights to management.
- The ideal candidate must have a strong sales background and good administrative and analytical skills. This is not a purely administrative position; the successful candidate is expected to actively support improvements in sales performance, ensure proper follow-through on sales activities, and provide management with accurate visibility of the international sales team and market activities.
Responsibilities
Sales Performance Monitoring:
- Monitor the performance of sales staff across assigned countries and territories
- Track individual and team sales targets, actual performance, achievement rates, and gaps
- Maintain up-to-date sales performance records and dashboards
- Identify underperformance, missed opportunities, and areas requiring management intervention
- Follow up with sales personnel on their targets, customer activities, pipeline, and planned actions
- Provide regular performance updates and concise briefs to management
Sales Team Movement & Field Activity Monitoring:
- Maintain visibility of the movements and field activities of sales personnel across different countries
- Monitor planned customer visits, market visits, dealer/distributor engagements, and other sales activities
- Follow up on field activities to ensure that planned sales engagements are being executed
- Obtain regular updates from sales personnel on market conditions, customer feedback, competitor activities, and sales opportunities
- Escalate significant deviations from approved plans or unexplained gaps in field activity
DOC Sales Monitoring:
- Develop a strong understanding of Day-Old Chick (DOC) sales, distribution, customer requirements, and the operational flow surrounding DOC movement
- Monitor DOC orders, sales commitments, dispatches, deliveries, and customer fulfilment
- Track sales activities against available DOC quantities and production plans where required
- Follow up on outstanding orders, customer commitments, cancellations, and potential sales losses
- Work closely with the relevant sales and operational teams to ensure smooth coordination of DOC sales and movement
Sales Follow-Up & Coordination:
- Maintain a structured follow-up system for sales activities, customer leads, orders, collections, and outstanding actions
- Ensure sales personnel follow through on leads and opportunities within agreed timelines
- Monitor the sales pipeline and provide visibility on potential business opportunities
- Coordinate information between the sales team, management, and relevant internal departments
- Support the sales team in maintaining accurate and timely sales documentation
Sales Reporting & Management Briefing:
- Prepare daily, weekly, and monthly sales reports as required
- Provide management with concise briefs on:
- Sales performance and target achievement
- Sales staff activities and movement
- DOC orders and movement
- Market developments
- Customer activities
- Sales opportunities
- Performance gaps and risks
- Analyse sales data and highlight trends, concerns, and opportunities requiring management attention
- Ensure reports are accurate, timely, and actionable
Sales Improvement & Business Support:
- Proactively identify opportunities to improve sales performance and market coverage
- Support the development and implementation of sales follow-up initiatives
- Analyse reasons for missed targets and recommend practical corrective actions
- Monitor market and competitor activities and communicate relevant findings to management
- Support the sales team in converting identified opportunities into actual sales
- Assist in strengthening accountability and discipline within the sales team
Administrative Support:
- Maintain organised and accurate sales records, reports, trackers, and databases
- Coordinate sales meetings, reviews, and follow-up actions where required
- Maintain records of sales targets, customer information, orders, and performance reports
- Ensure timely submission of required reports from sales personnel
- Support the Sales Manager/Head of Sales with presentations, reports, analysis, and other sales-related administrative requirements
Key Performance Indicators
- Performance in the role will be measured against:
- Achievement of assigned sales monitoring and reporting timelines
- Accuracy and timeliness of sales reports
- Percentage of sales staff submitting required updates on time
- Effectiveness of sales activity and movement monitoring
- Improvement in sales target achievement across monitored territories
- Follow-up and conversion of identified sales opportunities
- Accuracy of DOC sales and movement tracking
- Reduction in missed sales opportunities and delayed follow-ups
- Quality and usefulness of management briefs
- Responsiveness to sales performance gaps and escalation of critical issues
Requirements
- Bachelor's Degree or HND in Business Administration, Marketing, Sales, Economics, Management, or a related field
- Minimum of 5 years' relevant experience in sales, sales administration, sales operations, or commercial coordination
- Proven experience in a sales environment, preferably within poultry, agriculture, livestock, FMCG, manufacturing, or another distribution-driven business
- Experience monitoring sales teams across multiple territories or locations will be an advantage
- Experience with Day-Old Chick (DOC) sales or poultry operations is highly desirable
- Must have demonstrated experience in achieving or supporting sales targets
