Job Summary
We are seeking a highly organized, proactive, and discreet Personal Assistant to provide comprehensive administrative and executive support to the Managing Director of a Pharmaceutical company. The ideal candidate will manage schedules, coordinate meetings, handle correspondence, and ensure the efficient day-to-day operation of the MD's office.
Key Responsibilities
- Manage the MD's calendar, appointments, and travel arrangements.
- Coordinate meetings, prepare agendas, and take meeting minutes when required.
- Handle emails, correspondence, and phone calls on behalf of the MD.
- Prepare reports, presentations, and business documents.
- Organize and maintain confidential files, records, and documentation.
- Follow up on action items and ensure timely completion of assigned tasks.
- Liaise with internal teams, clients, partners, and stakeholders.
- Assist in planning company events, business meetings, and executive engagements.
- Conduct research and gather information to support business decisions.
- Perform other administrative and executive support duties as assigned.
Requirements
- Bachelor's degree in Business Administration, Secretarial Studies, or a related field.
- 2–5 years of experience as a Personal Assistant, Executive Assistant, or similar role.
- Excellent written and verbal communication skills.
- Strong organizational and time-management abilities.
- Flexibility in work Schedules.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace.
- Basislc Knowledge in AI tools(Claude AI and ChatGPT)
- Ability to handle confidential information with discretion and professionalism.
- Strong attention to detail and problem-solving skills.
- Experience in the healthcare or pharmaceutical industry is an added advantage.
