The Role

The Operations Lead will be responsible for coordinating the day-to-day activities of the business, ensuring that orders, production, inventory, dispatch, documentation, and team workflows are properly managed.

This role requires someone who is highly organised, detail-oriented, solution-driven, and comfortable taking ownership of operations.

Key Responsibilities

• Oversee the day-to-day operations of BXFROX and ensure smooth workflow across departments.
• Monitor customer orders from confirmation through production, dispatch, and delivery.
• Coordinate with the production team to ensure orders are completed within agreed timelines.
• Track production schedules, expected delivery dates, pending orders, and delays.
• Ensure accurate and timely updating of operational records and reports.
• Monitor stock levels, raw materials, finished products, and production requirements.
• Identify stock shortages and communicate procurement needs promptly.
• Coordinate dispatch and ensure completed orders are properly documented and handed over for delivery.
• Follow up on outstanding, delayed, cancelled, or problematic orders and ensure appropriate action is taken.
• Monitor daily sales, order fulfilment, production progress, and operational performance.
• Ensure that established company processes and SOPs are followed consistently.
• Supervise and coordinate operational staff, assign tasks, and monitor performance.
• Identify operational gaps, bottlenecks, and inefficiencies and recommend practical solutions.
• Maintain proper documentation and filing of operational records.
• Work closely with the management team to implement new systems and improve existing workflows.
• Prepare regular operational reports for management.
• Ensure effective communication between the front desk, sales/customer service, production, dispatch, and management teams.
• Handle operational issues promptly and escalate major issues to management when necessary.
• Support the implementation of systems and tools that improve efficiency, accountability, and visibility across the business.

Requirements

• Minimum of 2–4 years of experience in operations, administration, production coordination, or a similar role.
• Experience working in a manufacturing, fashion, retail, or product-based business is an added advantage.
• Strong organisational and coordination skills.
• Excellent attention to detail.
• Strong communication and interpersonal skills.
• Ability to manage multiple tasks and priorities simultaneously.
• Strong problem-solving and decision-making abilities.
• Ability to supervise people and hold team members accountable.
• Proficiency in Google Workspace, Microsoft Excel/Google Sheets, and other digital business tools.
• Comfortable working with operational data, reports, and tracking systems.
• Ability to work independently and take ownership of responsibilities.
• Must be proactive, reliable, and highly accountable.
• Ability to work in a fast-paced environment and meet deadlines.
