Operations & E-commerce Assistant (Hybrid)

Responsibilities
- Coordinate production timelines and follow up with suppliers and production partners.
- Track fabric, materials, product availability, inventory and purchase orders.
- Coordinate order processing, packaging, shipping and delivery tracking.
- Manage day-to-day Shopify, Etsy and Faire administration and other assigned e-commerce platforms.
- Maintain accurate product listings, prices, variants and stock information using approved details.
- Monitor incoming orders and customer enquiries and ensure timely follow-up.
- Maintain supplier, inventory, order and shipping trackers.
- Keep invoices, receipts, supplier confirmations and operational documents organised.
- Identify delays, errors and operational risks early and recommend solutions.
- Maintain task lists, deadlines and status updates so work progresses without repeated reminders.
- Work with the Sales & Marketing Assistant and Creative Lead to coordinate launches and product availability.
- Provide a weekly operations report covering open orders, production status, issues and upcoming deadlines.
Requirements
- At least 2 years of experience in operations, administration, e-commerce, logistics or a related role.
- Excellent organisation and attention to detail.
- Strong written communication and follow-up skills.
- Comfortable using spreadsheets, online collaboration tools and e-commerce platforms.
- Able to prioritise tasks, maintain accurate records and work independently.
- Experience with Shopify, inventory management, order fulfilment or supplier coordination is an advantage.
- Experience working with product-based businesses is desirable.
