Job Description
- The Secretary shall serve as the primary administrative support for the management team of Property Question Nigeria Limited.
- This role is not a conventional sign-in and sign-out clerical position but rather a proactive and integral part of the real estate advisory and sales operations.
- The Secretary shall ensure the smooth flow of documentation, client communication, and reporting while demonstrating the ability to think independently and operate without constant micro-management.
Responsibilities
- Managing all incoming and outgoing correspondence, including telephone calls, emails, and physical mail, and directing them to the appropriate personnel.
- Preparing, formatting, and maintaining official documents, client files, property listings, and transaction records.
- Assisting the Real Estate Advisory Manager and other team members in scheduling property viewings, client meetings, and site inspections.
- Typing and distributing daily, weekly, and monthly reports as required by management, using Google Workspace applications.
- Maintaining an organised electronic and physical filing system for all real estate transactions, contracts, and client data.
- Liaising with prospective and existing clients, providing them with initial information about available properties and advisory services.
- Coordinating with the Corporate Affairs Commission and other regulatory bodies for document submissions, as may be directed.
- Managing the office calendar, travel arrangements, and meeting schedules for the real estate team.
- Taking minutes during internal meetings and ensuring action points are tracked and followed up.
- Performing any other administrative duties that support the sales and advisory functions of the real estate firm.
Requirements
Education:
- A minimum of a National Diploma or Higner National Diploma in Secretarial Studies, Office Technology and Management, or a related field from a recognised institution.
- A professional certification in secretarial administration or office management shall be an added advantage.
Experience:
- A minimum of three years of progressive working experience as a Secretary, Administrative Assistant, or similar role is required.
- At least one year of that experience must have been gained within the real estate industry.
- Prior experience supporting a sales or advisory team in a property firm is highly desirable.
Required Skills:
- Excellent written and verbal communication skills in English, suitable for professional client interaction in the real estate sector.
- Strong organisational and time-management skills, with the ability to prioritise tasks effectively.
- Proficiency in using Google Workspace (including Google Drive, Google Sheets, Google Docs, and Google Forms) for reporting, data entry, and document sharing.
- A demonstrable ability to think innovatively and solve problems without waiting for step-by-step instructions.
- High level of discretion and confidentiality when handling sensitive client and company information.
- Attention to detail, particularly in preparing contracts, property listings, and official correspondence.
- Ability to work independently without the need for micro-management, while still adhering to reporting deadlines.
Other Requirements:
- This is not a sign-in and sign-out position.
- The successful candidate shall be evaluated on task completion, report accuracy, and overall contribution to the real estate team.
- The candidate must demonstrate the ability to submit daily, weekly, and monthly reports on time using Google Workspace.
- A proven capacity to work without constant supervision and to think outside the box when solving administrative challenges is essential.
- The candidate must be willing to work flexible hours when required, including occasional support for weekend property viewings or urgent client deadlines.
- A verifiable employment history and a clear record of professional conduct are required.
Salary
N150,000 - N200,000 / month.
