Inventory Officer - Healthcare

Job Summary

The Hospital Inventory Officer will be responsible for managing and controlling our hospital’s inventory of medical supplies, pharmaceuticals, and equipment. This role ensures the availability of critical items, maintains accurate inventory records, and implements efficient inventory management practices in compliance with healthcare regulations. The Inventory Officer collaborates closely with clinical, procurement, and logistics teams to support seamless hospital operations and patient care.

 

Key Responsibilities

· Oversee and maintain organized inventory systems for all hospital supplies, including medical consumables, pharmaceuticals, and equipment across all hospital departments.

· Receive, inspect, and verify incoming shipments, ensuring that they are undamaged, match purchase orders, accurate, quality, and in compliance with purchase orders and hospital standards.

· Update and manage inventory records in the hospital’s inventory management system, ensuring real-time accuracy of stock data.

· Monitor, analyze, and control inventory levels to ensure critical items are always available while minimizing overstock, wastage, and expired stock.

· Conduct regular physical stock counts and reconcile with system records; investigate and resolve any discrepancies.

· Track and manage expiration dates, batch numbers, and lot numbers for all inventory, especially for time-sensitive and perishable items.

· Update inventory management systems and manual records to reflect all stock transactions, adjustments, and movements.

· Implement and enforce inventory control procedures, including FIFO (First-In, First-Out) and FEFO (First-Expired, First-Out) as appropriate.

· Generate and analyze inventory reports (e.g., stock levels, usage rates, expiry analysis) to inform procurement, reduce wastage, and prevent stockouts.

· Analyze demand patterns and consumption data to forecast future inventory requirements and set optimal reorder points.

· Implement and enforce inventory control procedures (e.g., FIFO for perishables) and ensure compliance with hospital policies and healthcare regulations.

· Coordinate with procurement and purchasing teams to initiate timely reorders and prevent stockouts.

· Collaborate with clinical staff to forecast demand and ensure critical supplies are always available for patient care.

· Maintain organized, safe, and clean storage areas, ensuring compliance with hospital policies and health regulations.

· Support internal and external inventory audits; prepare documentation and participate in audit processes.

· Train and supervise inventory assistants or support staff, ensuring adherence to best practices and hospital procedures.

· Build and maintain effective relationships with suppliers and service providers to ensure reliable and cost-effective supply chains.

· Continuously seek opportunities to improve inventory processes, reduce costs, and enhance overall efficiency in hospital inventory management through continuous training and professional development.

Requirements

 

· Bachelor’s degree in supply chain management, business administration, logistics, or a related field; certification in inventory or materials management is an advantage.

· Minimum of 5 years of experience in inventory management, preferably in a hospital or healthcare setting.

· Proficiency in inventory management software, ERP systems, and Microsoft Office (especially Excel).

· Strong analytical and numerical skills, with the ability to interpret data and support data-driven decisions.

· Excellent organizational and time management abilities; capable of managing multiple priorities in a fast-paced environment.

· Attention to detail and accuracy in record-keeping, stock tracking, and data entry.

· Effective communication and interpersonal skills for working with clinical staff, suppliers, and cross-functional teams.

· Problem-solving skills, with the ability to investigate issues, analyze root causes, and implement corrective actions.

· Knowledge of healthcare inventory control principles, regulatory standards, and best practices (e.g., FIFO, expiry management).

· Commitment to continuous improvement and cost-effective inventory management.
