Admin & Document Controller

Job Summary
- The HSE Officer is responsible is responsible for managing all technical and administrative documentation, ensuring compliance with industry standards, regulatory requirements, and company procedures.
- The role combines administrative support with strict document control to maintain accuracy, traceability, and secure storage of records.
Key Responsibilities
Document Management:
- Establish and maintain electronic and hard-copy filing systems.
- Register, log, and track all incoming/outgoing documents.
- Ensure proper numbering, categorization, and version control.
Compliance & Standards:
- Ensure documents meet company, client, and regulatory requirements.
- Maintain confidentiality and data security.
- Support audits and inspections with accurate records.
Distribution & Coordination:
- Distribute documents to relevant departments (Engineering, HSE, Operations, Procurement, Finance).
- Track acknowledgements, reviews, and approvals.
- Liaise with clients, contractors, and consultants on submissions.
Project Support:
- Assist with project handover dossiers, as-built documentation, and close-out reports.
- Manage redlines and ensure incorporation of field changes before finalization.
- Prepare transmittals, registers, and status reports.
Administrative Duties:
- Provide general office support (scheduling, correspondence, reporting).
- Coordinate with IT and management to improve document control tools.
- Generate KPI dashboards and document workflow reports.
Key Requirements
- Degree in Business Administration, Information Management, Engineering, or related fields.
- Minimum of 3 - 5 years’ experience in Oil & Gas or related industries.
- Proficiency in MS Office (Word, Excel, Outlook, PowerPoint)
- Experience in EDMS/DMS (e,g, Aconex, SharePoint, Procore)
- Basic understanding of Engineering drawings and Oil & Gas terminology.
Salary
- N400,000 - N500,000 per month (Net Salary) (However, the salary can be negotiated upward depending on the candidate’s experience).
